With just 12 hours on the clock, inflatable structure specialist Evolution Dome successfully deployed 137 private meeting pods for a 1,500-person healthcare conference at the Gaylord Palms Hotel in Orlando, Florida.

Working in close partnership with Total Destination Solutions (TDS), the Evolution Dome team transformed the hotel’s expansive exhibition hall into a fully functioning conference hub—completing the entire installation in just 10 hours.

At the heart of this ambitious project were 137 custom 5m x 6m “Office Pods,” designed and positioned to host confidential breakout meetings for between 8 and 15 delegates each. The pods were arranged to maximize space efficiency while delivering acoustic privacy and professional comfort, eliminating the need for traditional meeting room setups spread across hotel floors.

“Instead of using 137 hotel sleeping rooms with multi-day charges, separate BEOs, and costly furniture removals, our client was able to hold all district breakouts in one central location,” said Rance Brown, VP of Sales at TDS.

“One entry point, one lounge area with F&B and furnishings, and one BEO—this was a game-changer for them, and they loved it!”

Each pod featured sound-baffling walls to ensure conversations remained confidential, along with silent, adjustable fans to maintain inflation without disruption. Their open-top design helped regulate temperature by working in harmony with the hall’s HVAC system.

The solution provided significant advantages:
